2. The Admin Department/ Sports and Well Being Coordinator meet different travel companies and Sports and Well Being Coordinator formulates a feasible travel plan for the annual interna�onal trip n liaison with the VP 3. The proposed trip is communicated by email to parents to determine the number of students interested in this trip. 4. Based on the posi�ve responses from the parents, the Admin department/ Sports and Well Being Coordinator take final quotes and contracts from the travel companies. 5. The best company based on safety, experience, facili�es, nature of travel and comfort, costs and i�nerary are selected and approved by the Principal and School Manager. 6. The cost and final i�nerary is formulated and conveyed to the parents. The parents register their children with an advance non-refundable deposit. 7. MOE approval and KHDA forms are filled a�er the trip has been finalised. 8. The health, safety and welfare of our students is safeguarded by taking an insurance ensuring that reasonable care has been taken in the nature of the selected trip, the level of supervision provided, the venue, the means of transporta�on, the demands on the physical resources of the students, having regard to their age and capacity, and the poten�al issues. 9. The insurance is arranged through authorised school brokers 10. Parents are invited to a presenta�on where they meet the travel agent and clarify any queries 11. A document is signed between the school and travel agent. 12. Before the trip community outreach coordinator communicates with the parents providing a clothing list detailing the terms and condi�ons of the trip. The day of the trip: • all accompanying staff are briefed on risks and preven�on • all accompanying staff are clear on what to do in an emergency • first aid boxes are provided to cover the trip • all accompanying staff are made aware the contact details of each of the students and their medical/dietary needs • all accompanying staff are briefed on the educa�onal objec�ves of the visit to enable them to support learning • all children are wearing uniform and ID card – for local trips • all children are assigned to a group leader that they should remain with, for the dura�on of the trip. During the visit In addi�on to measures documented on the risk assessment, staff should – • Carry a class list/register. This is to be called before starting a trip and departing from any visit. In addition, a head count should be done. • Ensure adequate supervision and check children are always given suitable briefings in their group with their group leader and staff take regular head counts. • Be prepared to make ‘ongoing’ professional judgements related to assessment of risks. A�er the visit • A post visit evalua�on report should be completed, any accident/incident details recorded, and the risk assessment reviewed appropriately. • Where possible encourage children and adult helpers to contribute to this report. A copy of the report should be given to the Head of Primary/Secondary, Vice Principal and Principal • Students need to hand in the completed field trip booklets to the Head of Year
